To protect the owner's investment, Bev Roberts Rentals arranges inspections of the property before and after tenancy to document the property's condition. Copies of the Property Condition Report are givin to the property owners and residents. In addition, inspections are made during tenancy as needed. The Property Condition Report is used as part of our Security Deposit process in determining whether a deposit is returned to the tenant or to the property owner. Following a move-out we will immediately start the processes of readying a property to rent and marketing the available property.

Rental rates are negotiated to the highest possible level depending on market conditions, quality of the tenant, length of leases, type of property, and the time of year. Setting proper rental rates and maintaining a strong marketing effort has allowed us to exceed our occupancy rate!

Rents are sent to the property owner monthly unless an expense prevents mailing all funds. All property owners keep a $300 minimum reserve fund for expenses in the trust account. Tenant security deposits are held in the the trust account, until the tenant vacates.

We closely follow the rent collection procedures allowed under North Carolina Landlord-Tenant Laws. While our Rental Application Process is very thorough, rent collection challenges will always be a part of property management. However, we are experts in the field. Under the Residential Rental Contract, rent is due on the 1st of each month and late after the 5th. Tenants who have not paid their rent by the 5th day of the month will automatically be charged $15.00 or 5% of the rental rate, whichever is greater. That is the largest late charge allowable under N.C. Law. In addition, the Tenants will receive a late notice.

Although evictions are rare, Bev Roberts Rentals will arrange the removal of a tenant from the property in about 30 days should the rent not be paid in a timely manner. Eviction fees are charged to the property owner, but are then charged back to the tenant for reimbursement. If a tenant moves owing money, we file a report with the Credit Bureaus.

Bev Roberts Rentals has state-of-the-art property management software that allow us to handle all the accounting needs associated with a property more accuracy and efficiency. We closely follow the rent collection procedures allowed under North Carolina Landlord-Tenant Laws. We have the capability of accepting rental payments online, and depositing those payments directly into the landlords personal account. We provide the landlord with an itemized monthly statement and any invoice copies showing all income and expenses.

Bev Roberts Rentals has an established trust account in a North Carolina bank per the Tenant Security Deposit Act. When a tenant vacates a property, we provide them with an itemized statement, and return the security deposit showing all deductions from the security deposit and return to the tenant any unused portion of the deposit in the permitted amount of time as enforced by this Act. Although rare, we have the capability to file a report with the Credit Bureau if a tenant vacates owing money.

Bev Roberts Rentals offers full management services for a fee equal to eight percent (8%) of gross rental income received on all rental agreements, or $100.00 per month, whichever is greater. Most management companies fall in this same fee range depending on the type of property managed, market conditions and area. However, the difference in property management firms is often the quality of services. Bev Roberts Rentals company goal is to provide outstanding service so that any fees paid by the property owner are normally saved by avoiding longer vacancy times, excess repair costs, and tenants who have not been checked out completely. Contrary to some management companies, normally Bev Roberts Rentals does not charge a start up fee, Realtor referral fee, lease extension fee, flat fee when the property is vacant, or a fee to arrange maintenance. If the property owner decides to sell their property, no sales commission is charged if the property owner uses another Realtor. In order to avoid any of these "extra" fees, the property owner is asked to keep the property under management on an annual basis. Should the property owner request "lease only" services or a shorter management time, several reasonable fee options are available. Credit, employment, criminal, and financial status are reported through Credit Agencies. Also, we call current and past landlords and employers for verification of information.

Bev Roberts Rentals manages all complaints, maintenance issues, and emergencies that may arise. Bev Roberts Rentals is available to handle all communication as we maintain a 24 hour on-call service. Additionally, we are the buffer between the landlord and the tenant, as we stand firm in the face of adversity and enforce the rules of the lease. Tenants realize that we, unlike the owner, are only doing our job and are obligated to enforce the lease terms.

Bev Roberts Rentals maintains relationships with various licensed and insured contractors who provide property maintenance services at reduced rates. In addition, we handle all coordination between the tenant and the contractor, and handle the billing process. Unlike most property management companies, we do NOT charge a maintenance supervision fee, procurement fee, or "kickback" as they're sometimes called. These fees are a charge over and beyond the final bill on maintenance and repair work done to your property initiated by your property management company when using their vendors.

Our company maintains a 24 hour emergency on-call service. This service is for extreme emergencies only but gives our property owners and residents the confidence that we are available nights, weekends, and holidays when emergencies arise.

Many property owners are not aware of the requirements under North Carolina Law. Bev Roberts Rentals stays on top of changes in the law and provides the property owners and tenants with the appropriate required documents and notifications.

Our Residential Rental Contracts were developed and are copyrighted by the North Carolina Association of Realtors. In addition, we have developed and copyrighted our Residential Rental Contract Addendum which are attached to and made part of the Residential Rental Contract. Our Addendum protects your interest, and clearly explains the tenant's legal obligations, our policies, and our expectations of the tenant. However, occasionally tenant problems arise, although complete background checks are made. Bev Roberts Rentals has its own attorney who often provides free legal advice or services at a reduced fee.

Bev Roberts Rentals follows a strict procedure, which includes legal notice of contract breach, personal contact with the tenant in an effort to work things out and ultimately a court hearing, judgment and eviction if necessary. We take all possible steps to resolve any rent payment issues without legal action. However, we have a qualified and skilled team of lawyers on hand if legal action becomes necessary.

Property owner checks, computer-generated monthly statements, and any maintenance invoices are issued on the 15th of the month or the first business day after the 15th of the month. We produce a detailed monthly statement on income and expenses for our owners. An annual end-of-year accounting is provided to each property owner for tax reporting. Property owners should check with their accountant to verify the tax advantages when owning rental property. Monthly rental sales tax reports are arranged for property owners. In addition, other required reports are prepared for several government agencies.

A Rental Analysis helps determine what the property will rent for on a long or short-term basis. The analysis normally consists of visiting the property and it's features, and evaluating the property and its neighborhood. Recommendations are provided regarding repairs, appearance, marketing ideas, and a rent range. A free Rental Analysis can be arranged by contacting Bev Roberts Rentals 24 hours, 7 days a week. Property owners are under no obligation to begin management services after a Rental Analysis is provided.

A Rental Analysis is not always necessary to begin management; however, it can often answer many questions. Normally, everything that is needed to begin managing an owner's property can be accomplished in an hour at the property site or at our office. After a rental analysis and/or discussion is completed, management can begin immediately once a management or listing agreement is signed. The property owner usually provides a reserve for our trust account when management begins. If the owner lives out of town or cannot meet at the property, we will arrange to take care of all paperwork through the mail, fax or by email.
